AND STUDENT TRAVEL REGULATION
Administrative Rules
I. Definitions and Background
A. Field Trips
Field trips will be funded as separate budgetary appropriations and will consist of the following:
Classroom Field Trips
Appropriated funds may be used for trips for those activities that relate to a specific curriculum course or grade level (i.e., English, Second Grade, Chamber Choir) resulting from course work and occurring during a school day. Included in the funding would be any trips for the concert band and chorus, which are directly related to a specific course for which credit is earned.
Classroom field trip appropriations will be determined on a building pupil allocation. Approval of such field trips is a function of the Building Principal, within his or her budget constraints.
B. Charter Excursions
Charter excursion trips will be funded from a specific budgetary appropriation or account for student activities for those activities that cut across building/grade levels and areas of a curriculum or program.

Adequate preplanning should take place so that the monies allocated may be equally distributed among the interested parties.
Approval and Funding of Field Trips and Charter Excursions
Proposed appropriations will be a result of the district's budgetary process for each school year and will vary according to the projected fiscal capability of the district. The funding for field trips and/or excursions will be determined each year by the Board of Education.
C. School Club Trips
Clubs are those groups that meet after school with a student president and treasurer, either with a voluntary or paid faculty advisor. They are school sponsored in that they meet at school and are an outgrowth of particular school interests. Funding for school club trips will be from the student activity account.
Groups within the excursion or club categories may raise funds to pay for their travel expenses. They are still required to follow policy and administrative rules.
Field trips and club trips may be limited to one per year per class or club, unless unexpended funds remain in the related budget category.
D. Student Travel requiring overnight accommodations or beyond 75 miles will require the approval of the Board of Education upon the recommendation of the Superintendent of Schools. A Student Travel Proposal (4531.E) needs to be completed by the requesting teacher. That proposal will be approved by the Building Administrator/Supervisor and submitted to the Superintendent of Schools for recommendation to the Board of Education. A brief itinerary should be attached to all Student Travel Proposals. Field Trips will be approved two times per year – Spring and Fall.
E. Special trips are trips that are over 75 miles, based on a special invitation or achievement that require attendance prior to Board approval at a regularly scheduled Board of Education meeting. Special Trips can be approved at the discretion of the Superintendent of Schools with notification to the Board of Education that such approval has occurred.
II. Written parental permission slips are required for all school-sponsored trips.
III. Administrative Rule Regarding Medical Notice For School Sponsored Field Trips, Excursions, School Club Trips and Student Travel
It is school procedure that any student who may have an allergic reaction to any allergen (bee stings, foods and/or environment stimuli) and receives medication must be accompanied on a field trip by someone capable of administering the necessary medication.
Therefore, in order to give parents as much notice as possible, teachers should see the nurse immediately after requesting buses. Teachers should not deprive students of the opportunity to go on a trip by waiting until the last minute. If no one can go with the student, then he/she cannot go.
